General Information:

The Office of Human Resources at James Madison University is seeking a full-time administrative professional to provide a high level of customer service to both external and internal customers and administrative support for the HR team. The Front Desk Assistant represents James Madison University and the vision of the Office of Human Resources in all interactions and must exhibit high standards of professionalism and customer service.

 

Duties and Responsibilities:

-Customer Service: Serves as the first point of contact for Human Resources and is responsible for delivering a high level of customer service, to both internal and external customers, via phone, email and in-person.
-Document Imaging: Assists all teams within the department with scanning, filing and sorting of various documents into personnel files within OnBase. Requires sorting through documents containing confidential employee information and ensuring that all scans are properly filed.
-Administrative Support for internal customers: Duties include, but are not limited to, responsible for all manual employment verifications; tracks all incoming paper PAR forms; data entry into PeopleSoft; sorts all incoming departmental mail; monitors and responds to multiple HR email inboxes; submits work orders through AIM; and purchases office supplies as needed through eVA.
-Special Projects: Assists with special projects assigned by the Assistant to the HR Director or the HR Director. Increases the efficiencies of departmental administrative processes and works to improve these internal processes.

- Must be well-organized and have exceptional attention to detail, able to effectively prioritize and manage multiple tasks simultaneously, with interruptions.
- Excellent communication skills, both oral and written.
- Proficient skills in Microsoft Office products (Word, Excel, Access, PowerPoint, Outlook).

Preferred Qualifications:
- Knowledge of JMU systems (PeopleSoft, Aim, eVA and OnBase).
