General Information:
The Collection Administration Student Assistant will assist the Collections Administration team with receiving and processing physical library materials. This role involves coordinating with staff in various departments to ensure materials are cataloged, processed, and routed to the correct locations. The assistant will utilize a variety of systems and software to track orders, update records, and maintain access to materials. Additional project assistance may be required as needed.
This position will be based on-campus in one of JMU Libraries’ temporary locations during Carrier Library’s renovation. The role offers 10-20 hours per week, with a flexible schedule between Monday and Friday. The position is expected to begin in Spring 2025, with the expectation to continue through the summer months.
The Collection Administration team includes three other student employees. While tasks may vary, the student assistants work collaboratively as a team to ensure efficient operations.
Applications will be reviewed on a rolling basis until the position is filled.
Duties and Responsibilities:
Matches invoices to shipments and ensures everything is accounted for within the order and that the correct materials arrived. Communicates with Ordering Specialists about purchase order lines (POLs) and if there are any invoice discrepancies. Prepares invoices for Acquisition Coordinator by stamping and signing them after verifying the corresponding shipments; routes invoices to be processed and paid.
Prepares books for shelving by ensuring the integrity of bibliographic and holdings records, affixing barcodes and call numbers, and routing materials to their proper destination.
Receives new materials through Alma for firm orders, approval orders, standing orders, Course Reserves, Special Collections and Interlibrary Loans (ILL).

Strong attention to detail and ability to perform meticulous work
Excellent communication skills
Capable of working independently as well as collaborating effectively within a team
Microsoft Suite proficiency
Ability to prioritize tasks and meet deadlines
Additional Considerations:
Available to work in some capacity during the summer months (May through August), with high flexibility in scheduling to accommodate vacations, prior commitments, and time off

Students must be degree-seeking students, enrolled on at least a half-time basis (6 credits for undergraduate and 5 credits for graduate).
Students must have a 2.0 or better cumulative GPA.
