General Information:
Join the Operations Team of Faculty Success!
We are inviting applications for a part-time Operations & Administrative Specialist position to assist our team in support of Faculty Success (FS) and the Center for Faculty Innovation (CFI) programs with duties related to general reception office duties, providing calendar management support, scheduled program support, assist with creating marketing material, assisting with website updates, assist with catering contracts and room reservations.
• Part-time, 12-month wage position beginning in late July 2025.
• Approximately 20-28 hours of work per week throughout the year.
• Work hours are typically during business hours of 8am – 5pm.
• Working on average 5-8 hours per weekday (Monday-Friday).
• One-hour lunch break.
• On-campus in-person position located in a reception "front" office environment setting.
Duties and Responsibilities:
Main duties will include providing customer service support for the Faculty Success reception office through tasks related to incoming and outgoing phone calls, visitors, department e-mail, calendar management, supporting operations' program and marketing needs, and supporting office administrative needs.
Provides Direct Operational Support.
• Assist the Operations team with support during programs and events, including preparation (signage and nametags), setup and cleanup, and day-of-support for CFI Signature Programs.
• Support the office by assisting with data entry, attendance tracking, program registration reminders, and reporting of our programming utilizing ACEware SM, a database software tool.
• Create and update surveys utilizing QuestionPro, a survey software tool.
• Manage the office internal program’s calendar(s) utilizing MS Outlook and Teams software, including updating with new program information.
• Provide backup support, as needed, with duties related to social media, marketing, and podcasting using specialized software tools such as Canva and Podcast, and uses platforms such as Facebook, Instagram, X, and LinkedIn.
Provides Direct Administrative Support.
• Support the Office Manager with program catering requests, supply inventory management, creating and updating office forms, and with room reservation requests in the online scheduling software program, VirtualEMS.
• Provide support utilizing Cascade (a web application) for website updates for the Teaching Toolbox (CFI news articles), recipient updates for the Adjunct Faculty PD Fund webpage, programming updates for campus partners on the Office of Faculty Success Hub, and back-up support to the Office Manager for general web updates and the program event pages.
• Support the AVP utilizing MS Office 365 and Outlook/Exchange with calendar management, including communicating with on-campus and external contacts to schedule meetings in a timely and effective manner.
• Support the AD of Operations & Adjunct Support utilizing MS Outlook and Teams to communicate with adjunct faculty applicants and committee members of the Office of Faculty Success - Adjunct Faculty PD Fund.
• Support the office with other administrative and reception duties, as needed.
Reports directly to the Assistant Director of Operations and Adjunct Support, Faculty Success.
Qualifications:
Required
• Knowledge of basic office practices
• Proficiency with computers and software applications such as MS Office / 365
• Strong verbal and written communication skills
• Excellent customer service and people skills to provide a welcoming environment
• Ability to process detailed work with accuracy and efficiency
• Must be available to work 20 – 28 hours per week during our weekday office hours
Additional Considerations
• Proficiency in Windows applications in both PC and Mac environments
• Experience working with data entry
• Experience working with web applications
• Ability to learn technology applications quickly
• Experience with social media and creating marketing materials is a plus
• Previous office/receptionist experience
