General Information:

The International Student & Scholar Services (ISSS) team within the Center for Global Engagement (CGE) at James Madison University is seeking a full-time ISSS Coordinator to join our welcoming, collaborative office. This position is well-suited for someone who is organized, detail-oriented, and motivated to support international students, scholars, and the staff who work with them.

The ISSS Coordinator plays a key role in ensuring smooth daily operations by providing administrative, financial, and programming support. Working closely with CGE colleagues, international students and scholars, and campus partners, this position helps coordinate logistics and maintain processes that enhance the experience of JMU’s global community.

 

Duties and Responsibilities:

Administrative and Office Operations
•Serve as a primary point of contact for students and visitors to ISSS, coordinating with CGE’s front desk staff
•Manage the ISSS email account and shared calendar
•Submit work orders and transportation requests, assist with hiring documentation for student employees, and prepare event-related forms and requests
•Assist with updates to the ISSS website and events calendar in coordination with CGE staff

Financial and Procurement Coordination
•Assist with purchases, reimbursements, and travel authorizations for ISSS staff
•Track procurement card transactions and assist with reconciling immigration-related payments and budgets
•Support timely entry of procurement and HR forms in university systems

Health Insurance and Student Account Management
•Maintain accurate records of international student health insurance coverage
•Serve as a liaison between ISSS, CISI (the insurance provider), and JMU departments regarding coverage, claims, and billing
•Help students access their insurance plan information and submit waiver requests
•Coordinate charges to student accounts with appropriate university offices

Student Records and Data Maintenance
•Help ensure student records are complete and accurate in university systems and Terra Dotta
•Support data entry and status tracking related to scholarships, fees, insurance, and compliance
•Place student service indicators and assist with application record accuracy

Programming and Event Coordination
•Work with ISSS staff and student workers to support major programs such as Orientation, International Week, and the Thanksgiving Celebration
•Assist with planning monthly events and activities by helping schedule meetings, reserve space, and coordinate catering or other logistics

Faculty Immigration and Web Support
•Support immigration processing logistics, such as posting required notices and organizing documentation for filings
•Help track budgets and coordinate financial paperwork related to faculty sponsorships

 

Qualifications:

Required:
•Excellent attention to detail, organization, and time management skills
•Strong communication and interpersonal skills
•Ability to manage multiple priorities in a fast-paced environment
•Proficiency with Microsoft Office (Word, Excel, Outlook)
•Commitment to supporting international students and cross-cultural engagement
•Ability to work both independently and as part of a collaborative team

Additional Considerations:
•Experience working in higher education or an administrative support role
•Familiarity with university systems such as eVA, PeopleSoft, or Terra Dotta or comparable systems
•Experience working with individuals from diverse cultural backgrounds
•Interest in event coordination or web content updates
