General Information:

The Institute for Innovation in Health and Human Services (IIHHS) is seeking a part-time Fiscal and Administrative Coordinator who will support the mission and vision of IIHHS by providing fiscal and administrative support for several programs within the Institute. The Fiscal and Administrative Coordinator will assist the IIHHS Associate Director of Children and Youth Services and other program directors with their budgetary and administrative needs related to their new and ongoing grant and sponsored programs.

IIHHS is an interdisciplinary community-engaged hub that brings together students, staff, faculty, and the community to advance a culture of health and equity through education, clinical practice, research, innovative programs and advocacy. IIHHS is housed within JMU’s College of Health and Behavioral Studies (CHBS). We are especially interested in qualified candidates with a demonstrated commitment toward building equitable and inclusive environments.

 

Duties and Responsibilities:

- Monitor and reconcile budgets for IIHHS Children and Youth Services and other programs as assigned, providing information to guide decisions and for formal reporting to granting agencies and/or university offices.
- Develop and maintain spreadsheets for grant budgets as assigned to ensure timely and accurate tracking of personnel and non-personnel expenses.
- Meet and/or communicate with principal investigators monthly to review funding balances and maintain/balance budgets.
- Manage all expenditures as needed, including payments to vendors and agency transfer vouchers (ATV’s).
- Process PAR forms, time entry, eVA orders, small purchase credit card (SPCC) purchases and reconciliations as needed.
- Perform JMU system actions required for the establishment of new grants, including signature authority, Information Systems access, and ePAR set-up.
- Collaborate effectively with the Office of Sponsored Programs and provide necessary information to fulfill grant invoicing requirements.

 

Qualifications:

- Excellent written and oral communication skills
- Demonstrated ability to adapt and learn new systems
- Ability to take initiative and work independently to complete a variety of tasks with exceptional attention to detail and accuracy
- An understanding of accounting principles and budget management
- Ability to prioritize and track multiple projects with deadlines in an organized and efficient manner
- A professional and open communication style and a willingness to assist others.
- Ability to manage sensitive information and maintain confidentiality
- Demonstrated experience with Microsoft Office products, with specific competence in Excel

Additional Considerations:
- Experience with PeopleSoft (Finance and HRMS), ePAR submissions, eVA, SPCC reconciliation, and other software platforms
- Previous fiscal grant management experience
- Experience working at institutions of higher education

Conditions of Employment:  

Employment is contingent upon the successful completion of a criminal background check.

This is a part-time wage position working up to an average of 29 hours per week over the course of a calendar year with no benefits.
