General Information:

James Madison University, a Division I member of the NCAA and Sun Belt Conference, is accepting applications for an Athletics Administration Specialist in the Athletics Administration office. The Athletics Administration Specialist provides support for the Director of Athletics, Athletics Executive Team and the department. This position is full time with a comprehensive benefits package.

 

Duties and Responsibilities:

  • Serve as the official point of contact for all guests and phone calls coming into the Athletics Administrative Office.
  • General administrative responsibilities for the Athletics Administrative Office to include daily mail distribution, departmental communications and other administrative tasks, as assigned by the Athletics Executive Team.
  • Schedule departmental meetings, luncheons and guest appearances, as needed, including collaboration with Facilities and Aramark
  • Support the Director of Athletics with scheduling, agenda preparation and email correspondence.
  • Provide administrative support on special projects and established programs for Athletics Executive Team by:
  • Facilitate production of the annual staff and student-athlete online handbooks in collaboration with the executive team by serving as point of contact for collection and organization of required information
  • Utilize software to generate departmental surveys to include the student-athlete exit surveys; manage logistics to schedule interviews with student-athletes, Sports Administration and Faculty Athletics Representative; generate all student-athlete exit information into an annual report presented to the Athletics executive team and University Senior Leadership.
  • Provide assistance as requested by Athletics Leadership with special projects including but not limited to administrative support relating to post season travel, drafting meeting minutes, etc.
  • Serve as a back-up to the department in entering ePARS in the HRMS system and entering Payroll
  • Oversee and Manage the Affiliate Process (new and renewals) for the Department, including any parking requirements.
  • Oversee holiday initiatives and other initiatives sponsored by the department
  • Partner with University Talent and Development and other offices on campus, as appropriate, to strategize opportunities specific to Athletics, including Coaches and Staff.
  • Manages all team rosters in the Real Recruit Platform.
  • Maintains Athletics Directory, including accurate departmental email listserv, cell phone log and updated organizational chart
  • Oversees monthly birthday card recognitions.
  • Oversee the Employee of the Month Program for Athletics and other Athletics recognition programs, which highlights exceptional service by Athletics Employees.

 

Qualifications:

Required:

  • General knowledge of Intercollegiate Athletics
  • Understanding of administration, organization and budgets
  • Demonstrate-able customer service knowledge reflecting significant customer service experience
  • Significant experience with Windows and Microsoft Office
  • Demonstrated experience and proficiency in oral and written communication
  • The ability to learn and operate within State and university guidelines
  • Proven ability to effectively communicate with diverse populations and maintain confidentiality.
  • Ability to prioritize tasks and meet deadlines
