General Information:

The Office of Student Life at James Madison University is currently seeking applicants for the department Administrative Support Assistant. This position will provide administrative support to the department Director and assist in general duties associated with the Student Life administration area. This position serves as a campus security authority under the Jean Cleary Campus Safety Act.

The Division of Student Affairs includes University Career Center, Center for Multicultural Student Services, Community Engagement and Volunteer Center, Counseling Center, Dean of Students, Disability Services, Student Accountability & Restorative Practices, Sexual Orientation, Gender Identity & Expression, Orientation & Transition, Residence Life, Student Life, University Health Center, University Recreation, and Well Dukes. The division is an integral part of the campus community and works collaboratively with the other divisions of the university in supporting the mission, vision, and values of the university. Duties and Responsibilities:

Administrative Support:

  • Provide administrative support to the Director and leadership team when appropriate.
  • Assists director with special projects and managing their calendar
  • Manage and arrange logistics for department-wide meetings
  • Maintain general department electronic files and general email inbox
  • Attend job-related workshops
  • Assist in administrative tasks in the online student organization management platform

Office Management:

  • Provide high quality customer service and assist in creating a welcoming and inclusive space
  • Daily mail and package pickup at the post office

Recruiting and Hiring Support:

  • Enter electronic personnel action request forms (ePAR's) and complete all paperwork for all new full-time staff and graduate student hires
  • Provide administrative support to search committees
  • Provide onboarding support to new employees

Technology:

  • Update and maintain Microsoft department-wide collaborative tools
  • Assist with updating websites
  • Coordinate travel arrangements and reimbursements in the university system
  • Maintain accurate records for department equipment and fixed assets

Qualifications:

Required:

  • Baseline knowledge and experience of the Microsoft 365 Suite.
  • Baseline knowledge and experience in financial management.
  • Knowledge and experience in customer service and office management.
  • Skilled in managing busy, high paced environments.
  • Knowledge and experience in keeping schedules and arranging meetings for groups of intercampus staff.
  • Knowledge and experience in telephone and in-person communication.
  • Knowledge and experience with varied office equipment.
