General Information:

The Office of Gaining Early Awareness and Readiness for Undergraduate Programs (GEAR UP) - Staunton Programs seeks a part-time Administrative Assistant to provide support through a variety of administrative duties.

The Administrative Assistant works to maintain the efficiency and effectiveness of the office operations and serves as the primary fiscal manager for the office.

 

Duties and Responsibilities:

• Provide administrative support to the Director by acting as a professional interface for both external and internal constituents. Answer phones and greet visitors to the office. Prepare written correspondence.
• Coordinate travel plans and reimbursements for Director and staff. Attend meetings as requested. Coordinate meetings and events including reserving space and establishing catering contracts.
• Oversee daily office operations including purchasing, incoming and outgoing mail, paperwork processing and work order requests.
• Maintain and reconcile all expenditures, including foundation accounts for all areas.
• Maintain and reconcile all cost-share forms which includes communicating and obtaining signatures from various school employees including teachers and administrative staff.

 

Qualifications:

• Proficiency in current administrative and office practices and fluency in word processing, data management and information visualization with an emphasis on Microsoft Office, especially Excel;
• Experience and demonstrated knowledge of fiscal management such as reconciliation and a general understanding of accounting procedures;
• Ability to manage confidential and sensitive information.
• Demonstrated ability to adapt and learn new systems.
• Strong interpersonal skills and customer service experience with demonstrated excellence in oral and written communication.
• Ability to organize, prioritize and multi-task in a dynamic environment.
• Ability to take initiative and work independently to complete a variety of tasks with exceptional attention to detail and accuracy.

 

Conditions of Employment:  

Employment is contingent upon the successful completion of a criminal background check.

This is a part-time wage position working up to an average of 29 hours per week over the course of a calendar year with no benefits.
