General Information:
James Madison University Facilities Management is seeking applicants for our Maintenance and Planner/Scheduler positions. A successful candidate will independently schedule resources in support of maintenance, events, and projects by effectively communicating needs with customers, managers and supervisors.
Duties and Responsibilities:
Daily/Weekly Craft and Crew Scheduling:
- Develops scheduled and repetitive work orders based on resource availability.
- Provides zoned overviews of facility inspections through the coordination and direction of the senior planner.
-Facilitate a weekly scheduling meeting involving all trade supervisors for reviewing the following weeks work and updating current work loads.
- Set-up and track all internal maintenance projects to include time frames, budget, manpower availability, workload, and status.
- Work with all campus departments along with the maintenance trades in developing a comprehensive summer schedule that includes all housekeeping, engineering, and shop projects and sweeps needed to be completed prior to students arriving.
- Keep the Master Schedule up-to-date with all projects and events throughout the year.
- Schedule in Resource 25 as needed for for maintenance procedures on campus.
- Prepare and submit permits for required activities to the state for approval.
- Post outages and closures on the FM web site when scheduled.
- E-mail customers to confirm scheduled FM events that will involve their areas.
- Ensures a timely review of the maintenance backlog.
- Priority repairs are established based on work order priority status codes developed through the planner and customer feedback.
Project Management Coordinator:
- Works one-on-one with customers, contractors, managers and supervisors to develop scope of work and time frames.
-Assures that the customer is aware of the permits that are required and that they are in place prior to project startup.
-Forecast/Project current and future needs related to services, personnel, and equipment. Make recommendations to the Senior Planner.
- Develops all paperwork to ensure data is accurately captured and a clear definition and scope of work is communicated with the customer and project team.
- Ensures projects are developed and resource availability is scheduled.
- Reviews all project and equipment type requests.
- Develops an approval routing to ensure estimates are clearly communicated to customers and project team.
-Coordinate FM crews and contractors working on in-house projects.
- Have established policy and procedures related to costs associated with a project request and have established accounting procedures.
Special Event Coordination:
-Assist with event related activities for proper support by working with managers, supervisors, contractors, vendors and others as needed to ensure proper progression of the event.
-Barrier management to ensure customer issues are addressed time
Facilities & Campus Inspections:
-Works with the inspection team, customers and Facilities Management in the inspection of a facilities with a comprehensive database
-Develops annual inspection schedules to cyclical time frames have been developed with a comprehensive database established for management of cost analysis and future capital project development.
-Employee may be required to temporarily work another shift based on business need.
Qualifications:
-Event, planning and scheduling knowledge related to a facilities environment and program management.
-Estimating knowledge in residential and small commercial applications, to include electrical, plumbing, HVAC, paint, carpentry, etc. related to minor construction work.
-Working knowledge and general training in a facilities and project management environment.
-The ability to communicate with technical and program managers.
-Skilled in resource planning, scheduling and estimating.
