General Information:
JMU’s School of Professional & Continuing Education (SPCE) fosters learning across lifespans through transformative education and enrichment. SPCE offers a range of programs, including youth camps, adult degree completion, professional and workforce development, and lifelong learning, as well as partners with academic units across JMU to support a number of online or off-campus degree and certificate programs. This full-time program coordinator role supports the Lifelong Learning Institute (LLI) within SPCE.
Duties and Responsibilities:
Program Logistics
-Coordinate all LLI class, event, trip, and travel details from course setup to member registration in all LLI systems, including registration software, LLI calendar, and JMU Virtual EMS.
-Manage day-of and walk-in class registration, refunds, and system log-in issues.
-Run weekly registration reports. Inform LLI director about under-enrolled classes and classes with waitlists.
-Manage all mid-semester changes to classes: cancellations, 2nd sessions, date changes, extensions, across all LLI systems, and communicate those changes to members via email or phone as needed.
-Coordinate travel for all off-campus LLI trips, including booking buses and reserving parking.
-Secure parking codes for the Ice House lot each semester and share broadly with the LLI team and membership.
-Monitor the lli@jmu.edu email address
-Fill in on Program Assistant tasks when they are unavailable.
-Provide excellent and timely customer service to all LLI constituents over the phone, via email, and in person.
Instructor Payment and Onboarding
-Manage all hiring, onboarding, and payment paperwork for instructors in accordance with HR and university timelines. Create systems to streamline this process for maximum efficiency.
Volunteer Committee Coordination
-Coordinate the activities and documents of the LLI Volunteer Committees, including coordinating meeting times and keeping all policies and rosters up to date.
Event Coordination
-Act as primary point of contact and event planner for key LLI events. In collaboration with the LLI director, develop a budget, timeline, room reservations, and guest management.
Financial Admin
-Process daily/monthly deposits as needed.
Qualifications:
Required Qualifications:
Excellent verbal and written communication skills
Ability to set priorities and work under pressure
Ability to multitask, plan, and manage several projects simultaneously
Ability to work independently, problem-solve, and create systems and processes that are timely and clear to internal and external partners
Experience working with internal and external partners and participants, especially adults aged 55+
Familiarity with event management, fiscal systems, and registration systems
