General Information:

Graduate Admissions at James Madison University is managed by staff members in the Office of the Graduate School. We are seeking a temporary Graduate Admissions Assistant to collaborate with other team members to manage graduate admissions at JMU. The successful candidate will develop an understanding of the overall admission process to help implement our admission system using interconnected databases. Extensive training and supervision will be provided. We are seeking to hire someone who can start January 2, 2025 and continue for approximately 6 months.

 

Duties and Responsibilities:

The precise duties and responsibilities for this position will depend on the knowledge and skills the successful candidate brings to the role. Daily responsibilities are likely to include:
• Monitoring and management of applications submitted online using CollegeNET.
• Downloading of applications admission decisions and applicant responses and preparing data for uploading to PeopleSoft.
• Uploading applicant test scores obtained from testing services
• Monitoring and responding to application fee waiver requests.
• Establishing applicants as students in PeopleSoft as they are admitted and accept their admission offers, and assigning academic advisors.
• Placing and removing Transcript Holds from student records.
• Tracking student status and communicating with students & graduate program directors.
• Running various queries and providing reports to various campus offices.
• Communicating with applicants as they complete applications and answering their questions regarding their application status.
• Assisting graduate school staff members with other assigned tasks.
• Collaborating with all graduate school staff in the production of major events such as our Three-Minute Thesis Competition, Graduate Symposium and Commencement.

 

Qualifications:

Required:
• The ability to quickly learn how to use new products.
• The ability to use Microsoft Office (Outlook, Word, Excel and Teams).
• The ability to complete work accurately with attention to detail.
• Experience managing multiple tasks and setting priorities.
• Ability to understand and communicate in English (orally and in writing).


Additional Considerations:
• Experience using any of the following systems: CollegeNET (ApplyWeb, Program Manager, Admit, or Prospect), PeopleSoft Student Administration, Hyland OnBase, Zoom, and Cascade.
• Understanding of the graduate student experience.
• Experience in candidate selection, an office of admissions, or a role that is comparable.

Conditions of Employment:  

Employment is contingent upon the successful completion of a criminal background check.

This is a part-time wage position working up to an average of 29 hours per week over the course of a calendar year with no benefits.
