General Information:
James Madison University, a Division 1 member of the NCAA and Sun Belt Conference, is accepting applications for an Events and Operations Manager, Atlantic Union Bank Center (AUBC). The AUBC is the premier event venue for the JMU Campus, community, and region. The venue is the home to JMU men's and women's basketball programs including all home games, University Commencement and programming, along with many other major community events. Under the direction of the Director of the Atlantic Union Bank Center, this position will be responsible for day-to-day management the AUBC, serve as point for major events and will support the Director as a primary part of the JMU Athletic Staff.
Duties and Responsibilities:
Functional Management:
• Serves to assist in the general management of the venue, providing support for operations, and will serve as liaison between all areas.
• Participates in the strategic planning of annual goals and objectives for the Athletics Department and Facilities and Events unit.
• Helps secure and manage events that support revenue goals in cooperation with Administration.
• Supports the long-term planning for non-athletic events (including outreach and relationship development) with on and off campus groups in coordination with Director of Atlantic Union Bank Center.
• Manages all components of the event planning process including all logistics, the implementation of event staffing plans, and collaboration with various units within Athletics, the University, and external clients.
Event/Game Management and Scheduling:
• Ensures all laws, codes, ordinances, policies, procedures, risk management, safety precautions, rules, regulations, and emergency procedures are followed.
• Coordination of planning meetings with all involved personnel; Athletics Units, Facilities Management, Public Safety, Emergency Medical, Event Staffing, etc. to plan all logistical aspects of the event, compile and distribute production sheets.
• Assists in maintaining Master Calendar in cooperation with University Schedulers and ensures calendar system (EMS) is accurate and distributed.
• Coordinates resources and staff in support of all events hosted in the Atlantic Union Bank Center including planning, resource allocation, budgeting and financial reporting.
• Responsible for tracking and reporting budget expenditures in collaboration with
the Athletics Business Office.
• This position will collaborate with external clients and others within the department for projects and/or events and be assigned other duties as needed.
Personnel Management:
• Provides leadership/oversight for student staff through recruitment, hiring, training and evaluation.
• Collaborates with extended Athletic Facilities and Events staff to support larger events or projects.
• Assists in resource management based on ongoing evaluation and assessment of departmental needs to best accomplish departmental mission.
• Supervises vendors and contractors as assigned and ensure they are achieving departmental standards and goals.
• Oversees the Atlantic Union Bank Center's Building Manager Program that provides evening and weekend event support and security.
Facilities and Operations Administration:
• Assists in the daily operations of Atlantic Union Bank Center to ensure accurate scheduling, safety, code compliance and cleanliness.
• Acts as point of contact for select University departments for all services and preventive maintenance.
• Serves as Manager on Duty (MOD) for assigned major events and secondary operational support for other major events.
• Assists in the process of maintenance issues from reporting through the University work order system to the repair and/or replacement of the maintenance issue.
• Assists in scheduling, planning and execution of the set up and breakdowns for all events in the facility.
• Submits, tracks, and follows up on all work orders and equipment purchases pertaining to the budget.
• Recommends capital equipment purchases, projects, and facility improvements to the Director of the AUBC.
Qualifications:
Required qualifications include:
Previous experience working with an Arena, Civic Center, or multipurpose venue including experience with conversions.
Ability to work in an environment that has a high volume of events and often under stressful situations.
Skilled in resource management, allocation and prioritization.
Possess effective communication skills, both written and oral.
Possess strong organizational skills including strong attention to detail.
Ability to work a flexible schedule, including nights, weekends, and holidays.
Additional Considerations:
Demonstrable experience in major event planning and operations with client direct relationships.
Prior experience in arena, civic center, or multipurpose facility environments.
Proficiency in personal computer use and software applications, including database, spreadsheet, presentation, and word processing.
Web familiarity and ability to enter and maintain documents, such as policy manuals.
Experience working with scheduling software such as EMS.
General working knowledge of Audio, Video and Lighting Systems
Experience working in an intercollegiate athletics environment.
Active in professional organizations such as IAVM, CEMA, or similar.
