General Information:

Fraternity and Sorority Life in Student Life at James Madison University is currently seeking applicants for the Coordinator to advise the Panhellenic Council and recruitment process, supervise a graduate assistant and undergraduate student employees, and provide general programmatic and administrative support to the Greek population.

The Division of Student Affairs includes University Career Center, Center for Multicultural Student Services, Community Engagement and Volunteer Center, Counseling Center, Dean of Students, Disability Services, Student Accountability & Restorative Practices, Sexual Orientation, Gender Identity & Expression, Orientation & Transition, Residence Life, Student Life, University Health Center, University Recreation, and Health Promotion. The division is an integral part of the campus community and works collaboratively with the other divisions of the university in supporting the mission, vision, and values of the university. Duties and Responsibilities:

Supervision:

  • Supervise student personnel including one Graduate Assistant and multiple undergraduate student employees.
  • Hire, train, schedule, and support staff in meeting administrative and programmatic goals.
  • Provide clear expectations, meaningful learning opportunities, timely and constructive feedback, and effective management of performance issues if and when they occur.
  • Foster a comfortable work environment, a culture of personal and professional excellence, and working relationships based on inclusiveness and mutual respect.

Advising:

  • In coordination with a Graduate Assistant, serve as the principle Advisor to the Panhellenic Council.
  • Attend weekly Panhellenic meetings; guiding and mentoring the President and Executive Officers in advancing the goals and ideals of JMU’s fraternal community and ensuring all meetings and business is conducted in accordance with Panhellenic Constitution and FSL policies.
  • Advise all Panhellenic Chapters by meeting with the Chapter Presidents on a regular basis, providing guidance and support in meeting chapter goals, achieving continuous improvement, and upholding organizational values, and attending Chapter meetings as requested or needed, and assisting with and supporting Chapter events.

Recruitment:

  • Manage the Panhellenic recruitment and new member period processes.
  • Ensure recruitment and new member period processes follow NPC and university policies, maintain recruitment documentation via appropriate recruitment software platform, track recruitment statistics, and investigate reasons, trends, and concerns associated with new members not becoming initiated members.

Program Areas:

  • Lead and/or assist in FSL efforts in designing, implementing, and assessing core areas of responsibility including risk management, diversity and inclusion, philanthropy/service, and academic achievement programs and initiatives.

Extension:

  • Lead the expansion and chartering processes related to Panhellenic chapters.
  • Effectively coordinate with and support IHQ representatives and emerging leaders in recruiting and establishing viable and healthy colonies on campus.
  • Ensure expansion efforts are in accordance with university and NPC policies.

Assessment:

  • Work with the Associate Director to develop and implement ongoing assessment efforts with the expressed purpose of measuring attainment of objectives and program improvement.
  • Assessment should ascertain needs, participation and non-participation demographics, participant satisfaction, and accomplishment of stated goals and learning objectives.
  • Assessment results should inform resource allocation, program improvement, and marketing processes.

Marketing:

  • Use various marketing mediums and strategies to disseminate information related to Fraternity & Sorority Life and associated programs and resources.
  • Assist in maintaining the Fraternity & Sorority Life website.
  • Utilize website usage analytics and other inputs in adapting website design, marketing efforts, and information dissemination.

Budget Management:

  • Coordinate with FSL staff to maintain all office budgets, ensure appropriate and effective use of available resources, and assist in the annual budget development process.

Collaboration:

  • Proactively develop and maintain collaborative relationships across Student Life, Center for Multicultural Student Services,
  • Residence Life, Student Accountability and Restorative Practices, Public Safety and other stakeholders where such relationships would promote efficiency/effectiveness in fulfilling the Fraternity and Sorority Life work.

Committee Work:

  • Serve on department and university committees as assigned.
  • Actively participate in accomplishing established goals and objectives.

Professional Development:

  • Accomplish a minimum of 20 hours of professional development, attend Student Life professional development training, participate in staff retreats and other job-related training specific to the fraternity and sorority community.
  • Effectively utilize conferences and other professional development opportunities as tools for staying current in the field of fraternity and sorority life.

Qualifications:

Required:

  • Demonstrated previous professional experience in a higher education/college student affairs setting, or similar environment
  • A record of commitment to inclusiveness
  • Commitment to student development and a student-learning environment
  • A record of collaboration across functional work areas
  • Excellent interpersonal and communication skills
  • Experience developing rapport in one-on-one relationships

Preferred:

  • Skilled in advising and supporting students in the development of their leadership skills
  • Knowledgeable in fraternity and sorority standard operating procedures, i.e. recruitment and rush practices
  • Knowledgeable in basic marketing skills, social media platforms, recruitment techniques, and supervisory skills
  • Be current on trends in higher education and fraternity and sorority life
  • Knowledgeable in Microsoft Office software (specifically Word, PowerPoint, Excel, Teams)
