General Information:

James Madison University's College of Visual and Performing Arts (CVPA) seeks applications for a full-time Contract and Building Coordinator for the Forbes Center for the Performing Arts. This position provides expert coordination of the artist contract lifecycle for the Forbes Center and ensures effective management of the Forbes Center facilities, including access control, repairs and maintenance coordination, safety processes, and fixed-asset stewardship, in support of the Director and the mission of CVPA.

The successful candidate will translate Director-approved deal memos into compliant artist agreements and manage contract workflows through approval and execution, while also serving as Building Manager for the Forbes Center, coordinating facilities services, access and security, and fixed assets.

This position reports to the Director, Forbes Center for the Performing Arts, and works closely with University Procurement, Legal Affairs, Facilities Management, Safety/Risk offices, and the CVPA Business Office.

Duties and Responsibilities:

Artist Contract Coordination
•Draft, route, and track artist agreements, addenda, and riders based on Director-approved deal memos.
•Collaborate with University Procurement and Legal Affairs to ensure compliance with JMU, Commonwealth of Virginia, and legal standards.
•Maintain contract templates, records, and tracking logs; archive executed documents in accordance with records policy.
•Coordinate budget/fee data, W-9 and insurance requirements, and payment schedules with the CVPA Business Office.
•Coordinate travel-related responsibilities between the Forbes Center and performing artists, including managing execution of rider responsibilities when artists are on-site.

Building Management and Facility Coordination
•Serve as the Forbes Center's primary Building Manager; submit and track work orders, and coordinate repairs and preventive maintenance with Facilities Management.
•Manage key and card access; maintain door schedules; document approvals and access logs.
•Serve as Fixed Assets Coordinator for the Forbes Center; maintain accurate inventories and coordinate annual certifications.
•Support planning and execution of maintenance upgrades, safety inspections, and lifecycle replacements in performance and public spaces.

Collaboration, Communication, and Customer Service
•Provide responsive, service-oriented support to artists, agents, faculty, staff, students, and campus partners.
•Maintain clear communication channels with the Director, CVPA staff, University Procurement, Facilities Management, and Safety/Risk offices.
•Contribute to continuous improvement of contracting and facility processes; document procedures and share best practices.

 

Qualifications:

•Experience coordinating contracts, agreements, or complex administrative workflows.
•Skill in project management, workflow tracking, and document control.
•Ability to interpret and apply policy, follow procedures, and maintain confidentiality.
•Excellent interpersonal, written, and verbal communication skills, with the ability to work effectively with a wide variety of stakeholders, including students, faculty, staff, and university partners.
•Proficiency with office productivity software and databases, and the ability to learn JMU systems (e.g., HRMS/PeopleSoft, facilities work-order tools).
•Ability to manage detailed documentation accurately.
•Ability to work occasional evening and weekend hours aligned to performance schedules or facility needs.

Additional Considerations:
• Experience in performing arts, venue management, or higher education.
• Familiarity with Commonwealth of Virginia procurement standards and public-sector contracting.
• Experience with building/facility coordination and fixed-asset management.

 

Additional Posting Information:

This position involves occasional standing and walking within a multi-venue performance facility, and the ability to lift and carry up to 25 lbs. occasionally with or without accommodation. There is exposure to typical office and performing arts venue environments (lobby, backstage, and mechanical/scene shop areas), with appropriate personal protective equipment provided when required.
